When we say “Lake Drive Loop,” “we,” “us,” or “our,” we mean Lake Drive Loop Inc.

This policy does not apply to independent third parties that may collect or control your information separately, such as payment processors or mapping providers. 1. What Information Do We Collect?
a. Information You Provide to Us
i. Contact Information
Before you rent a bicycle or e-bike, use our booking system, or otherwise interact with us, we may ask you to provide basic personal contact information such as your first and last name, email address, mailing address postal code, phone number, and account login information.
ii. Government-Issued Identification
We are required to verify that riders meet our minimum age requirements. We may ask you to provide your date of birth and a government-issued ID (such as a driver’s licence or Ontario Photo Card). We collect only the ID type and the last four digits of your ID number for identity verification and fraud prevention purposes.
iii. Rental Participation Information
We collect confirmation of your helmet use, rider eligibility, and waiver acceptance as part of the rental process.
iv. Payment Information
If you rent from us, we will ask for your payment information, such as a credit card or debit card. Lake Drive Loop does not store your full payment card information. We use trusted third-party payment processors to collect and process your payments on our behalf.
v. E-Signature & Waiver Information
When you sign our rental agreement digitally, we collect your IP address, browser type, device type, waiver acknowledgements and initials, and a digital image of your signature.
vi. Feedback & Communications
If you contact us for support, respond to a survey, or interact with us by phone, email, or social media, we will collect the information you provide in those communications.
b. Information from Your Devices
i. Device Information
When you visit our website or use our mobile app, we use cookies, pixels, log files, and similar technologies to collect data about your device. This includes device identifiers, browser type, operating system, session duration, navigation paths within our Platform, and usage activity. Please see our Cookie Notice in Section 7 for more information.
ii. Location and Vehicle Usage
When you rent a vehicle using our app, we automatically collect and store location information from your device and from the vehicle you use.
Devices: We collect the approximate location associated with your IP address, and with your permission, your mobile device’s precise location using GPS (you can change your location settings on your device, but certain app features may not be available if you do so).
Vehicles: Our rental equipment collects the time of use, and the latitude and longitude of the vehicle in real time. This information is used to determine the vehicle’s current location, travel direction, and speed for safety monitoring and theft prevention purposes.
c. Information from Others
i. Social Media
When you interact with us or post content about us on social media platforms, we may collect certain information from your public profile as well as interests and similar information you permit those platforms to share.

3. How and With Whom Do We Share Your Information?
a. Service Providers
We use third-party service providers to help us run our business and deliver services on our behalf, including payment processors, booking platforms, mapping and navigation services, customer support providers, and analytics tools. We require all service providers to use adequate safeguards to protect your information and to use it only for the purposes for which access was granted.
b. Legal Authorities
When we believe it is necessary, we will share personal information to comply with applicable law or respond to valid legal process; to help prevent the loss of life or serious injury in emergency circumstances; to detect, investigate, or prevent fraud or security incidents; or to protect our rights or property.
c. Social Media and Public Posts
When you interact with us on social media platforms, any information you submit through those features may be publicly accessible and is not confidential. Please take care when posting publicly about or to us.
d. Corporate Transactions
We may transfer personal information as part of a corporate transaction such as a merger, acquisition, financing, or sale of all or a portion of our business or assets. If such a transfer affects how your information is used, we will notify you as required by law.
e. Anonymized and Aggregated Data
After removing identifying information such as your name and contact details, we may use, share, or license aggregated or anonymized data for research, analytics, or other business purposes. This type of data is no longer considered personal information and falls outside the scope of this policy.
4. Our Legal Basis for Using Your Information
We collect and use your personal information on the following legal bases:
- Contract necessity: it is necessary to provide our rental services and fulfill our agreement with you.
- Legal obligation: we are required by law to collect or retain certain information, such as identity verification for age-restricted rentals.
- Consent: you have expressly consented to the collection of specific information, such as location data or marketing communications.
- Legitimate interest: collection is reasonably necessary for our business operations, including safety monitoring, theft prevention, and fraud detection, balanced against your privacy interests.
5. How Long Do We Keep Your Information?
We keep your information for as long as is reasonably necessary to provide services to you, or until your account is deleted, whichever is longer, subject to any longer period required by applicable law.
Signed waivers and rental participation records may be retained for a reasonable period after your last rental for insurance, safety, and legal compliance purposes.
When you request deletion of your account, it may take us additional time to fully remove your information from our systems. We may also retain certain information from closed accounts to prevent fraud, collect outstanding fees, enforce our agreements, or comply with legal obligations.
6. Your Rights
Subject to applicable law, you have the following rights regarding your personal information:
a. Right of Access
You can request a copy of the personal information we hold about you and information about how it is used.
b. Right of Rectification
You have the right to request that we correct any inaccurate information we hold about you.
c. Right of Erasure
You have the right, in certain cases, to request that we delete your information, provided there are valid grounds for doing so and subject to applicable law.
d. Right to Restrict Processings
You have the right, in certain cases, to temporarily restrict how we process your information.
e. Right to Data Portability
You may have the right to receive certain of your information in a structured, commonly used, and machine-readable format.
f. Right to Object
Where we process your information based on legitimate interests, you can object to this processing in certain circumstances. Unless we have compelling legitimate grounds or where it is needed for legal reasons, we will cease processing your information when you object.
g. Right to Withdraw Consent
Where you have previously provided consent, you have the right to withdraw it at any time. This will not affect the lawfulness of processing that occurred before withdrawal.
h. Right to Lodge a Complaint
You have the right to lodge a complaint with the Office of the Privacy Commissioner of Canada or your applicable provincial privacy authority.

i. Your Choices and Managing Your Information
We believe you should have choices about the collection, use, and sharing of your information. If you would like to change the types of communications you receive from us, including opting out of promotional messages, you may do so at any time by contacting us or updating your account preferences. We may continue to send non-promotional communications such as booking confirmations and safety notices.
You may request deletion of your account and associated personal information at any time by contacting us at [email protected]. We will process your request within a reasonable time, subject to our legal and contractual obligations.

a. What Is a Cookie?
Almost every website uses cookie technology. We use cookies, web beacons, pixels, tags, and other similar technologies on our website and Platform to collect data. Cookies are small files stored on your device that collect information about your use of our website, and in some cases, other websites.
b. How Does Cookie Technology Work?
The first time you visit our website, your browser downloads cookies placed on the site. The cookie collects information about your visit — pages visited, how the site performed, how you were brought to the site, account sign-on, and your preferences — depending on the type of cookie.
The next time you visit with the same device, the cookie is sent back to our website (a first-party cookie) or to another website if operated by a third party (a third-party cookie). This exchange allows the website to recognize you and display more relevant information.

Functional: These cookies enhance website performance and functionality by saving details you have already provided,
Advertising: These cookies may be set by our advertising partners to build a profile of your interests and show you relevant ads on other sites. They do not store personal information directly but identify your browser and device. We will obtain your consent before placing advertising cookies.
Pixels and Beacons: Pixel tags and web beacons are small identifiers embedded in web pages or emails that we or our service providers use to track user activity, measure ad performance, and compile usage statistics.

Please note that opting out of advertising network services does not mean you will not receive advertising. It means the advertising you receive will be less tailored to your interests.
8. Security, Children, and Other Disclosures
a. Security and Retention
We use commercially reasonable administrative, technical, and physical security measures to protect personal information entrusted to us, including secure servers, restricted access controls, and encrypted connections.
b. Data Breach Notification
If a security breach involving your personal information creates a real risk of significant harm, we will notify you and, where required, the relevant Canadian privacy authority, in accordance with PIPEDA and applicable law.
c. Children’s Personal Information
Our services are not directed to individuals under the age of 16. We do not knowingly collect personal information from anyone under 16 without parental or guardian consent. Where rentals involve participants under 18, consent is obtained through the Rental Agreement and Waiver process by a parent or legal guardian. If you believe a minor has provided us with their information without appropriate consent, please contact us so we can identify and delete it.
d. Changes to This Policy
We will update this Privacy Policy when required by changes in the law, our services, or our data practices. When we post changes, we will update the Effective Date at the top of this policy. If we make material changes, we will provide notice or obtain consent as required by law. Continued use of our services following a posted update indicates acceptance of the revised policy.
